Team, roles & the PIN switcher
Who can do what, and how a shared front-desk terminal stays accountable.
Roles and permissions
Every staff member gets a role. The built-in roles — owner, admin, manager, staff — cover most teams, and you can create custom roles with exactly the permissions you want (Discord-style: an explicit grant or deny on a custom role beats the built-in default).
Permissions gate both the navigation and the server. If someone can't see Reports, they also can't call the reporting functions by any other means — the check lives in the database, not just the menu.
The shared terminal
A front counter usually runs one computer with many hands on it. Aced handles that with the operator switcher:
- The terminal signs in once with a shared login.
- Each staff member has a personal PIN. The lock screen asks "who's ringing?" and every sale, refund, drawer count and rain check records who did it.
- Tap Lock / switch in the sidebar (or just walk away — it locks on inactivity) and the next person enters their PIN.
- Need off the terminal entirely (end of day, wrong business, moving the device)? The lock screen always has Sign out of this business at the bottom — tap it twice and the device returns to the login page. Signing out never needs a PIN; it only takes access away.
Adding someone
- Settings → Team → Add member.
- Give them a role, a PIN (required — it's how they use the register), and optionally an hourly rate — the rate powers labor cost reporting and never shows to other staff. Nobody can be added without a PIN, so a locked terminal always has someone who can open it.
- They can work PIN-only on the shared terminal immediately. If they need their own login (their own email + password on their own devices), that's a web login — invited in one click from Settings → Team → Web Logins.
